2. Information We Collect
Information provided by schools and teachers
- Teacher accounts: Teachers may provide their name and email address to establish a school account.
- School details: Information such as school name and subscription details may be collected to administer memberships.
Information relating to students
- We do not collect or store personally identifiable student information such as full names, email addresses, phone numbers, or home addresses.
- Students may be represented by non-identifying markers such as initials or an automatically generated avatar.
- No personal accounts are created for students.
Device information
To manage school subscriptions and prevent unauthorised access, we may store the following non-identifiable device data:
- A browser/device fingerprint (a unique identifier generated by the system).
- Limited technical information (e.g. last access time).
3. How We Use Information
We use collected information solely for:
- Managing school and teacher accounts.
- Allowing students to access CheatsheetPro resources under a school licence.
- Tracking device logins to manage subscription limits.
- Improving the stability, security, and performance of our services.
We do not sell or rent information to third parties, or use student-related information for advertising or profiling.
4. ExamAI Functionality
CheatsheetPro offers an ExamAI feature, which allows students to receive automated feedback on exam-style questions:
- When a student submits a response, the text is anonymised and sent securely via API to OpenAI for analysis and feedback generation.
- No identifiable information such as student names, emails, or contact details is included.
- Schools and teachers may disable ExamAI at any time if this feature does not comply with their institution’s online learning protocols.
5. Cookies and Local Storage
CheatsheetPro uses first-party cookies and local browser storage for essential functionality, including:
- Storing a device/browser fingerprint to identify returning devices for subscription management.
- Maintaining secure sessions during use.
These cookies do not contain identifiable student information.
6. Data Security
- Secure database storage in Australia.
- Role-based access controls for teacher and school accounts.
- Regular monitoring to prevent unauthorised access.
7. Data Retention
- Teacher and school account data is retained for as long as the subscription is active, and as required by law.
- Device registration information is retained only for the purpose of managing subscription limits and may be periodically cleared or reset.
- Student identifiers (initials or avatars) are non-identifying and may be removed when a subscription ends.
8. Access and Correction
Teachers and school administrators may:
- Access and update their account details.
- Request corrections of any inaccurate information.
- Request deletion of account information when their subscription ends.
9. Children’s Privacy
CheatsheetPro is designed to be used both at school and at home by students:
- We do not knowingly collect personal information from children.
- All data associated with students is non-identifiable.
- Schools remain responsible for determining how students access CheatsheetPro in line with their internal policies.
10. Disclosure to Third Parties
We do not disclose personal information to third parties except:
- Where required by Australian law, regulation, or court order.
- To service providers engaged under strict confidentiality and data protection obligations (e.g. hosting providers, OpenAI for ExamAI functionality).
We do not transfer data outside Australia unless equivalent data protection standards are ensured.
